All your questions about the Physical Education New Zealand Awards are answered here.

Do I need the consent of the nominee?

We recommend engaging the nominee in the application process to ensure full and accurate data is submitted. But it is not necessary to have the consent of the person being nominated unless you want the award to be a surprise for them should they win.

Who may make a nomination?

Anyone can make a nomination by completing a nomination by the due date. Some nominations must be made by 2023 Physical Education New Zealand members, so check the awards details carefully.

When will the awards be presented?

The awards will be presented during the PENZ?EONZ conference opening event night on Monday 3rd July 2023. If the recipient is not present to accept their award, we will courier the award to them after the conference.

What supporting material is required?

Some nominations must to be accompanied by appropriate supporting material to allow the awards committee to make a valid judgment.

For the Rising Star, Excellence in Physical Education, Outstanding Physical Education Teacher, Tama te Uira me Hine te Uira and Tane Pepeke Awards the following applies:

You will need to provide the nominee name, nominator name ane email address, 100 words about why they would be deserving of this award (with the proviso that we will personally find out more) and a reference (someone that PENZ can contact to find out more).

For the Sir Alexander Gillies Medal, Life Member and Fellow Awards the following applies:

Evidence is the data and information you select to support the nomination and showcase engagement, initiatives, or outcomes. It might include units or programmes of work, a department philosophy, assessments or learning journals, testimony from students or parents, or any other relevant support material. Choose the evidence that best fulfils the criteria of “outstanding achievement”.

Don’t just provide your evidence, information and data in raw form. You’ll need to present your evidence in a way the judges can easily make sense of. For example, make sure your evidence is clearly labelled and includes a short explanatory note about what is shows, Set it out clearly and logically. If inserting images or other files, ensure the image size is appropriate and the file size doesn’t exceed the maximum files size of 10MB.

Your support material evidence must NOT exceed 20 single-sided A4 pages (10 double-sided pages). Your entry will NOT be considered if it exceeds the 20-page limit. Don’t include hyperlinks to online material within your evidence.

Your entry should be typed with the following format: Arial font, 11 point font, with 1.5 line spacing, and you’ll need to save it as one PDF file using the following filename structure: Award category_Your name, your organisation’s name.pdf For example: Outstanding New Professional_JSmith, ABC College.pdf

Upload the evidence in the online form. You are also welcome to submit a video file to support your entry (see below).

Entries will not be accepted after 5pm on the closing date. Please ensure you allow enough time to check and save your files correctly before sending them in. We can’t accept entries via post, courier or hand delivery.

Videos

A video is a great way to support an entry by telling your story in your own words. Evidence and information you may want to showcase could include: learning environments, classroom practices, student activity and voice, community and whānau voice, learner activities, events, or anything else that adds, or is important to, your nomination. You do not have to include a video as part of your entry.

Your video must be no longer than 5 minutes in length or it will not be accepted as part of your entry.

Submitting a video to us as part of your entry via Vimeo is easy:

  1. Create a Vimeo account. You will need an account to upload it to first. If you don’t already have an account, please follow the instructions on the Vimeo website to create one.
  2. Upload your video to Vimeo. Your video must be no longer than 5 minutes in length or it will not be accepted as part of your entry.
  3. Put the URL (link) and the password you created to view your video onto the entry form.

Once the video is uploaded, you will have a URL (link) created for your video. The URL (link) is the Vimeo web address followed by a nine-digit number, for example: https://vimeo.com/123456789 You will need to provide us with this (URL link) along with the password you created for the video (which allows us to view only that video) so we can access and share your video with the Judging Panel. Please copy the link and password into the space provided on the entry form.

Our judges are volunteers from organisations across the educational spectrum. We are so grateful to these dedicated professionals who give their time to ensure a smooth and credible process for those involved and to help celebrate the amazing people who work in physical education.

How are awards verified?

Each nomination requires a nominator (and their contact details) and the name and contact details of the nominee’s senior leader, or HOD’s name who also in support of the nomination and can verify any details, as required.

The Awards and Honours Committee will then verify the nomination eligibility and make their recommendations to the Physical Education New Zealand board for confirmation.

Nominations or submissions that are incomplete or received after the deadline will not be considered.

The evaluation process results are proprietary to Physical Education New Zealand and will not be disclosed to nominators or nominees.
